Terms of service

Last updated 16 October 2026

These terms apply when you or your company use GuideBerry, provided by [Company legal name] ("we", "us"). By creating an account or using the service, you agree to them. If you accept them for a company, you confirm that you may do so on its behalf.

The service

GuideBerry lets a company write its training and policies, give them to the right people, check what they learned, collect signatures and follow everyone's progress.

We keep improving GuideBerry, so features may change. Features marked "Soon" are not available yet.

Your account

The company's owners decide who is invited and what each person may do. Keep sign-in details safe, and tell us straight away if you think someone has used an account without permission.

You are responsible for what happens in your company's account and for the people you invite.

Free trial

A new company can try every feature for 14 days without a card. At the end of the trial, choose a plan to keep using GuideBerry. [What happens to an account that does not choose a plan.]

Plans and payment

Each plan is priced by the size of your team. Fees are charged in advance for each billing period, plus any taxes that apply.

You can move to a bigger or smaller plan at any time; the change applies [from the next billing period].

We will tell you at least 30 days before a price change takes effect. If payment fails and is not put right, we may suspend the account after telling you.

Your content

Your company owns the content it puts in GuideBerry and the records of its people's training. You give us permission to store, process and show it only as needed to provide the service to you.

You are responsible for your content, for having the right to use it, and for having a lawful basis for the personal data of your people that you add.

Acceptable use

Do not use GuideBerry to break the law or anyone's rights, to upload harmful code, or to harass anyone.

Do not try to reach another company's data, test or get around our security, overload the service, copy or resell it, or take it apart to build a competing product.

AI features

AI drafts and suggested questions can be wrong or incomplete. Check them before you publish: you are responsible for the content you publish.

Text sent to our AI features is handled as described in our privacy policy.

Signatures and records

GuideBerry records each signature with the signer, the date, the version of the document and a fingerprint of its content, and keeps it permanently. Whether an electronic signature meets the legal requirements for a particular purpose is for your company to decide.

Availability and support

We work to keep GuideBerry available and fast, but cannot promise it will never be interrupted, for example during maintenance. Support is offered as described in your plan. Any commitment to a level of service is only what we agree with you in writing.

Privacy and data protection

Our privacy policy explains how we handle personal data. When we process personal data on your company's behalf, we do so under a data processing agreement, which we will provide on request.

Ending the service

You can stop using GuideBerry at any time. An owner can delete the company and all of its data from the company settings; export any reports you need first.

We may suspend or close an account that breaks these terms, after telling you where we reasonably can.

Disclaimers

Apart from what these terms say, GuideBerry is provided as it is, without warranties of any kind, as far as the law allows.

Limitation of liability

As far as the law allows, we are not liable for indirect or consequential loss, or for lost profits or data, and our total liability is limited to the fees you paid us in the 12 months before the claim. Nothing in these terms limits liability that cannot be limited by law.

Changes to these terms

If we change these terms, we will update the date at the top and tell account owners before any important change takes effect. If you keep using GuideBerry after that, the new terms apply.

Governing law

These terms are governed by the laws of [country], and the courts of [city, country] decide any dispute.
